TRAVEL REQUIRED BETWEEN FAIR OAKS, RESTON, STONESPRINGS AND LOUDOUN

GENERAL SUMMARY:

The Clinical Assistant performs clinic and nursing office duties in support of the physicians (in all office locations), maintaining a “patient focused” approach to all assigned tasks. She/he adheres to all regulatory requirements and ensures complete documentation per VSA protocols and procedures, to ensure adequate communication of patient care.

MINIMUM EDUCATION, EXPERIENCE AND SKILLS REQUIRED:

High School Graduate. CMA preferred. Prior medical office experience required. Must possess excellent written and verbal communication skills. Able to multi-task and capable of remaining calm in stressful situations. Demonstrates above average critical thinking/medical triage and customer service skills. Able to use a multi-line telephone system and the practice management computer program. Demonstrates keyboard proficiency. Demonstrates working knowledge of medical terminology, care of the medical-surgical patient, diagnostic and procedural coding and clinical responsibilities relative to the medical billing process.

ESSENTIAL FUNCTIONS:

Clinical Rotation Duties:

  • D istribute daily schedules for office hours to Physicians, Physician’s Assistant(s) (if necessary), and Clinical Assistant(s) (if necessary)
  • Turn on lights in all exam rooms required for the day’s appointments. Turn on all clinical equipment necessary; ensure adequate exam room supply of sterile instruments, stethoscopes, required forms, etc
  • Prepare required pre-certification form for all unplanned office procedure(s) and forward form to Front Desk for pre-certification. If time permits call and pre-cert procedure.
  • Ensure each patient signs an office surgery consent form prior to each procedure. Scan form into patient's EMR.
  • Monitor physician schedule to ensure timely rooming and prepping of patients for examination and to ensure management of patient flow; notify front desk staff & alert patients in the lobby when delays occur.
  • Monitor documents/message/etc. that needs physician follow up and signature for timely processing.
  • Review patient’s EMR, greet patient, escort to exam room and enter/update any patient intake information in EMR; prep patient for examination according to protocol â€" i.e. gowning, setting up required supplies for physician, retrieving missing clinical reports, etc.; chaperone examination as required and ensure disability forms are offered to all post-op patients.
  • Communicate with responsible physician and/or physician assistant any important information related to patient’s history and the purpose of the current appointment.
  • Assist physicians with all office procedures; ensure all necessary instruments/supplies are available for use, adheres to procedure specific protocols, sterile technique, OSHA regulations including standard and universal precautions. At later date, remove any sutures from office/Hospital procedures as instructed by physician. Remove or replace wound vacs as instructed by physician.
  • Prepare surgery packets to include pre-op erative test orders, special instructions, clearances and other pertinent information; review all required information with patient and ensure patient verbalizes understanding.
  • Review all surgery information with patient. Emphasize all key points and review any extra preparation (bowel prep, etc.). Review Self-Care Management questionnaire with patients and provide “Self-Care Management Resource” if applicable. Ensure Patient completes surgery preference form prior to checking out. If unable to do so, follow "Will Call" procedure.
  • Review all test order(s) and referral(s) with patient. Remind patient when a clearance is deemed necessary, surgery will not be scheduled until documentation of clearance is received.
  • All tests and/or orders given to patient should be changed from “Ordered” to “Pending” in EMR.
  • Take vital signs to include height, weight, and blood pressure on every single patient.
  • Prepare films for review by physi cian-ensure patient films are returned to patient prior to leaving. Document in practice computer system occurrences of films retained for additional review, etc. to ensure adequate tracking and communication of films’ location.
  • Always direct patients to check-out area to ensure payment of co-pay, outstanding balances, and any follow ups visits are scheduled
  • Complete proper close out of patient’s EMR visit document; provide additional instructions/testing orders/patient education resources/referral information/report copies, etc., as needed
  • Ensure all hand written prescriptions are copied, entered into patient's EMR, and the copy is scanned and indexed into EMR.
  • Ensure electronic orders are accurate and complete, including next follow up visit for patient.
  • Perform at least monthly inquiry in EMR for Orders Tracking per protocol and document findings in EMR. Set aside office hours to follow up with patient for incomplete orders. Fla g appropriate staff, if unable to contact patient, to send non-compliance letter (See Orders Tracking Policies and Procedures' in Clinical Folder).
  • Accurately complete appropriate requisition forms and transport all correctly labeled and prepared specimens, a copy of the patient's ID and insurance card, to designated “Specimen Holding Area” for lab pick up. Ensure integrity and pick up of all specimens to include all necessary paperwork. Ensure integrity and pick up of all specimens.
  • Follow all downtime procedures and utilize downtime forms when deemed necessary for all computer systems such as EMR, IRL, Lab Corp, WRA, and FRC.etc.
  • Ensure all work areas are straightened, cleaned, shredding bins are emptied, all time sensitive patient items are followed up/completed prior to leaving at days' end. Ensure all unused forms are returned to specified areas.
  • Check all exam rooms for used instruments, clean (using standard precautions), pac kage, place in autoclave and sterilize (according to protocol). Ensure all packages are initialed and dated before restocking. Ensure a steam Integrator strip is included with each packet autoclave cycle (with instruments, etc.) and results are recorded on designated log sheet. When log sheet is completed forward to Manager to review and scanned in Clinical electronic folder on SharePoint. Ensure autoclave is turned off and unplugged prior to leaving office at the end of each day.
  • Spray each exam table and counters with designated antiseptic cleaner; change exam table paper; re-stock supplies as needed; tidy and prepare rooms for next day. On Fridays, or the day ending the week, all surfaces in each exam room are to be sprayed down with approved antiseptic, wiped down, pillow cases changed and rooms completely restocked. Ensure RX pads are secured.
  • Turn off all clinical equipment.
  • Ensure all medical waste (biohazard) materials are picked up according to schedule and manifest is obtained each time.
  • Complete expiration list in the clinical folder, at least monthly and update list electronically.
  • Assist with daily equipment maintenance (to include but not limited to autoclave, eye wash, refrigerator, Ultrasound, Flex Sig, and Manometry), per established/manufacturers guidelines/protocols.

General Clinical Duties:

  • Maintain/ensure maintenance of supply inventory to ensure required supplies are always “on hand” â€" (designated Clinical Team Member)
  • Maintain/ensure maintenance of adequate supply of all required forms â€" (designated Clinical Team Member)
  • Maintain accurate waste manifest reports â€" ensuring invoices are correctly matched to receipt ticket â€" (designated Clinical Team Member)

OTHER JOB DUTIES:

  • Aid in scheduling urgent patient testing to include but not limited to laboratory, radiology, biopsies, or other referring physicians.
  • Assist as Clinical Assistant in other offices as needed/requested and, if trained, assist in Nursing/Triage office as necessary.
  • Support the VSA Team Environment by assisting with other duties as assigned
  • Complete patient non-compliance letters per protocol daily, if time permits, but no less than weekly.

WORKING CONDITIONS: Medical office setting. May regularly sit for extended periods of time. May regularly stand and walk for extended periods of time. Continual use of telephone, computer and general office equipment. Lifting up to 35 pounds. Extensive patient contact; may be exposed to some patient illnesses and has Risk of exposure to body fluids.
