We are looking for an exceptionally detailed, organized, professional, and fashionable Executive Assistant to help support our CEO. The perfect candidate is someone who can perform a variety of administrative duties including making travel and meeting arrangements, preparing reports, ordering supplies, taking notes, and working with vendors as needed. The ideal candidate should have excellent oral and written communication skills as well as superb organizational skills with G-Suite. We are searching for the type of person that is always carrying a notebook ready to take notes, one who possesses a strong sense of urgency, and enjoys a fast paced work load. They don’t wait for solutions to be spelled out - they are resourceful and creative in finding their own solutions. No task is too small or too big. Oh, and if you happen to love anything beauty and fashion- even better!


HOW YOU’LL SPEND YOUR TIME:

  • High level scheduling and calendar management
  • Organizing and booking of business domestic and international travel, including preparation of detailed itineraries along with the foresight to think through all logistical details
  • Project managing ongoing and special tasks and ensuring work gets done and deadlines are met
  • Managing and initiating communication with internal and external stakeholders
  • Liaising and coordinating with various departments and external business contacts with discretion and confidentiality
  • Coordinating public outings, events, and private/personal scheduling
  • Anticipating and preparing for meeting needs; taking and retaining of meeting notes
  • Completing personal errands as needed and assisting with beauty/fashion recommendations

WHAT YOU HAVE:

  • 3+ years of experience supporting a high level executive; preferably within beauty and or entertainment industry
  • Ability to be flexible, collaborative, and efficiently multitask in a fast-paced environment
  • Strong organizational skills and extremely high attention to detail
  • Ability to maintain confidentiality of sensitive issues, and be a problem solver
  • Ability to think critically in the moment to effectively perform unfamiliar tasks quickly
  • Willingness to go above and beyond; drive for results

WHO OVERSEES YOU:

You will report directly to the CEO


WHO YOU OVERSEE:

The Executive Assistant does not oversee anyone


WHERE IT ALL GOES DOWN:

Our Executive Assistant will work between company offices supporting our CEO; locations include Calabasas, Ca and Burbank, Ca. Must be able to commute to both.


WHEN THE MAGIC HAPPENS:

The typical work schedule is 40 hours a week, specific times will be discussed during the interview
